  • Trado Billing desktop software, including the offline desktop edition.
  • License activation, customer support, and related services provided by Neo Smart Solutions.

Different versions of our software may process information differently. The sections below explain the relevant practices for each version.

3. Information We Collect

Depending on the product version and features you use, we may collect or process the following categories of information.

3.1 Information You Provide

  • Customer and supplier names and contact information entered by the user.
  • Invoices, receipts, taxes, discounts, and transaction records.

3.3 Device, Application, and Technical Information

Depending on the application version and technical services enabled, we may process limited technical information such as:

  • Operating system and application version.
  • Application diagnostics, error reports, and crash information, where enabled.
  • License status and activation records.

3.4 Website and Portal Information

When you access our website, submit a contact form, or use an online portal, our hosting infrastructure or enabled services may process technical information such as IP address, request logs, browser information, and security events.

Cookies and similar technologies may be used where necessary for website functionality, security, preferences, or analytics. Any non-essential tracking technologies will be used in accordance with applicable consent requirements.

4. How We Store and Process Billing Data

4.1 Offline Desktop Edition

For the Trado Billing Offline Desktop edition, operational accounting records—including invoices, products, rates, customer balances, and related records—are stored in an encrypted SQLite database on the user's computer, as described for that edition.

We do not intentionally upload or monetize those locally stored operational accounting records through the offline desktop edition.

Website inquiries, license requests, and license activation information are separate from locally stored accounting records and may be processed through our online services as necessary to provide those services.

Users should maintain secure access to their computers and appropriate backups of their business records.

4.2 Android Application

The Android application processes the information necessary to provide its available features.

If information is transmitted to a server or third-party service, we will disclose the relevant data categories, purposes, and recipients in this Privacy Policy and in the Google Play Data safety section, as applicable.

We do not claim that all Android application data remains exclusively on the device unless that statement is factually accurate.

4.3 Online Services and Licensing

When online services are used, we may process registration details, license status, activation information, and technical information necessary to activate licenses, prevent unauthorized use, provide support, and maintain service security.

License-related device information, where collected, is used only for the disclosed licensing and security purposes.

5. Purposes for Processing Information

We may use information, where applicable, to:

  • Provide billing, invoicing, and business management functionality.
  • Create and manage accounts and licenses.
  • Verify license validity and prevent unauthorized activation.
  • Respond to inquiries and provide customer support.
  • Diagnose technical issues and improve application reliability.
  • Protect our website, applications, infrastructure, and users from fraud or abuse.
  • Maintain necessary business, accounting, and security records.
  • Comply with applicable legal obligations and respond to lawful requests.

We do not use personal information for purposes incompatible with those disclosed to users unless an appropriate legal basis and any required notice or consent are obtained.

6. Sharing and Disclosure of Information

Neo Smart Solutions does not sell users' personal information.

We may disclose or make information available to the following categories of recipients when necessary and appropriate:

6.1 Service Providers

Hosting providers, infrastructure providers, technical support providers, and other processors may handle information on our behalf to operate and secure our services.

6.2 Licensing and Security Services

Information necessary for license validation, activation, fraud prevention, or technical security may be processed by the relevant systems or service providers.

6.3 Analytics and Diagnostics Providers

If analytics or crash-reporting tools are integrated into a particular version of the application, those providers may receive the technical information described in their applicable documentation and in our disclosures.

6.4 Payment Providers

If online payments are offered, the relevant payment provider may process payment information under its own privacy policy. Trado Billing does not intentionally store full payment card numbers or payment gateway authentication credentials on its own servers, as described for its current website and licensing arrangements.

6.5 Legal and Business Requirements

We may disclose information when required by applicable law, a valid legal process, or a lawful governmental request. Information may also be transferred as part of a business restructuring or transfer, subject to applicable legal requirements and appropriate safeguards.

Third-party providers are expected to handle information in accordance with their applicable obligations. The actual providers used by each product version must be reflected accurately in the relevant disclosures.

7. Data Security

We take reasonable technical and organizational measures to protect information against unauthorized access, disclosure, alteration, loss, and misuse.

Depending on the service, these measures may include:

  • HTTPS/TLS encryption for supported data transmissions.
  • Access controls and restricted administrative access.
  • Appropriate database and server security measures.
  • Cryptographic protections for licensing information.
  • Security monitoring and technical maintenance.

No method of electronic storage or internet transmission can be guaranteed to be completely secure. Users should protect their devices, credentials, and local business databases against unauthorized access.

8. Data Retention

We retain information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including service delivery, licensing, support, security, dispute resolution, and compliance with applicable legal obligations.

Retention periods depend on the type of information and the purpose for which it is processed.

Locally stored desktop billing records generally remain on the user's computer until the user deletes them or they are otherwise removed from that device.

Information held by our online services is retained according to applicable operational, security, and legal requirements. Where information is no longer required, we will delete it or securely anonymize it, where appropriate and technically feasible.

9. Account and Data Deletion

Users may contact Neo Smart Solutions to request deletion of personal information associated with their use of Trado Billing.

Where the Android application allows users to create an account, we will provide:

  • A readily accessible in-app method to initiate account deletion.
  • An external webpage where users can submit an account and associated data deletion request.
  • Information about the deletion process and any limited categories of information that must be retained for legitimate legal or security reasons.

Account deletion requests will be handled in accordance with applicable law and Google Play requirements. Deletion will cover associated personal data that is not lawfully required to be retained. Information retained for a valid legal obligation will be restricted and retained only as necessary.

Deleting an online account does not automatically delete billing databases stored locally on a user's computer or other devices. Users may need to delete those local records separately.

To submit a deletion request, contact:

10. Children's Privacy

Trado Billing is designed for business and commercial use and is not directed at children.

We do not knowingly collect children's personal information in violation of applicable law. If we become aware that personal information has been collected from a child in circumstances where it should not have been collected, we will take appropriate steps to address the situation.

11. User Rights and Choices

Subject to applicable law, users may request to:

  • Obtain information about personal data processed by us.
  • Correct inaccurate personal information.
  • Request deletion of personal information where deletion is legally available.
  • Withdraw consent where processing is based on consent.
  • Raise concerns or complaints about the handling of personal information.

Requests may be submitted using the contact details provided in this Privacy Policy. We may need to verify the identity of the requester before processing a request.

Certain business records may need to be retained to meet legal obligations or resolve disputes. Where such exceptions apply, we will handle the information in accordance with applicable law.

12. Third-Party Websites and Services

Our website or software may contain links to third-party websites, payment services, or other external resources.

Those services may operate under their own privacy policies and terms. Neo Smart Solutions is not responsible for the privacy practices of independent third-party websites that it does not control.

Users should review the relevant third-party privacy policies before submitting personal information to those services.

13. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in our products, data practices, security measures, legal obligations, or platform requirements.

The updated version will be published on: https://tradobilling.com/privacy

The "Last Updated" date at the beginning of the policy will be revised when material changes are made. Where required by law or applicable platform policies, we will provide additional notice or obtain consent.
